Event Process

Build effective Event Process that leads participants throughout your event!

Process Block

The basic foundation of each Activerto Process is one pomodoro.
One pomodoro is a 30min time interval that consists of 25min work and 5min break.

Pomodoros are visually expressed as Process Blocks:

Intro + Core Value + Outro

Every event starts with an Intro (Core Value prefix).
Intro onboards participants for upcoming event hence, it serves purposes such as:
– warmup
– agenda explanation
– networking
– room preparations
– collecting expectations
– recapitulation of previous event
– etc.

Every event has a Core Value which takes place just after the Intro.
Core Value brings most value to participants therefore, is the main part of the event.
Depending on event design it can be:
– training
– club’s activity (e.g. playing chess)
– presentation
– interview
– show
– workshop
– etc.

Every event is finalized by Outro (Core Value suffix).
Outro closes the event hence, it serves purposes such as:
– collecting feedback
– agenda summary
– post-event networking
– room cleaning
– expectations’ check
– follow-up
– etc.

Process Management

Maximum length of Intro, Core Value and Outro is four pomodoros each.

Process Blocks can be merged, however it needs to be acknowledged that the work and the break part of each merged pomodoro should grow proportionally.
Only up to four pomodoros can be merged into one.

Situation in which there are more than four pomodoros in Intro, Core Value and/or Outro – combined and/or merged – is strictly prohibited.

To indicate the direction of the process Direction Arrows ought to be used.

To group specific parts of the process Aggregates ought to be used.

Event Process

Process Blocks arranged into Intro, Core Value and Outro with Direction Arrows indicating the flow grouped in Aggregates create the Event Process.

Event Process defines WHEN each part of Event Framework is conducted.

Notation

Event Process is expressed in a form of various shapes in the middle part of the Event Framework (click to enlarge).
